People Administrator

Job Purpose 

As People Administrator you will be part of the wider People team in Poland, supporting our employees and managers in various HR matters. You will act as the first point of contact for our employees and will work closely with the People Partnering, HR & Payroll, Recruitment, Benefits and Learning & Development teams. In particular, you will be responsible for HR documentation, benefits registration, HR reporting and data management, and training administration.

Roles & Responsibilities 

Working as part of a local People Team to support all day-to-day HR queries for our employees in Wrocław and Kraków (+500 employees).

  • Managing benefits administration tasks for Employees, which involves working with both Employees and providers.
  • Ensuring all benefit plans align with local laws and company policies. 
  • Managing administration tasks for Starters, Leavers, and Internal changes, preparing letters and annexes (based on templates) and other contractual documents. 
  • Management of the HR Systems e.i. Workday, On-point ensuring data is up to date and accurate.
  • Managing queries received via our case management system.
  • Monitoring long-term absences (sickness, maternity, parental).
  • Organisation of language courses and yoga classes.
  • Ensuring that process and resolution to queries are completed within the agreed SLAs.
  • Responsible for completing any other duties that may be required for the proper performance of the role.

Knowledge, Skills and Experience

  • Have some HR administrative background, most preferably within an HR Shared Service area.
  • Experience in handling multiple requests from internal and external parties.
  • Experience in working at complex/matrix organisation structure.
  • Possess excellent verbal and written communication skills in English and Polish.
  • Be able to multitask and work in a busy environment.
  • Experience in dealing with international sites and clients.
  • Keen to develop their knowledge of HR and to follow industry-wide benefit trends.
  • Have the ability to organise their workload to meet tight deadlines.
  • Ability to prioritise tasks in line with the needs of the business. 
  • Possess fantastic attention to detail with a high level of accuracy.
  • Experience using HRIS systems, i.e. Workday or other HR Systems, office applications such as Word, and good knowledge in Excel or GSuite.
